Candidate Data Policy
This page describes, in practical terms, what happens to an application after you press Submit.
What happens to your CV
- Your file is renamed to a generated identifier such as
CV_20260820_A83DK92.pdf. Your original filename is stored separately in our database, but is never used on disk. - The file is written to a private directory that is not reachable through a web address and that is configured so no script inside it can ever be executed.
- Only PDF, DOC and DOCX files up to 5 MB are accepted. Every upload is checked against its real file signature, not just its extension.
What happens to your application
- You receive an application reference in the format
OCT-CV-YYYY-XXXXX. Quote it in any correspondence with us. - A notification is sent to our recruitment inbox, and an acknowledgement is sent to you.
- Your profile joins the Octonics Talent Network and is reviewed against current openings. It is also revisited when new roles are approved.
What we do not do
- We do not sell, rent or trade candidate data.
- We do not add applicants to marketing lists.
- We do not contact your current employer without your explicit permission.
- We do not guarantee that every applicant will receive a response — but every application genuinely is reviewed.
Retention and removal
Applications are retained for up to 24 months. You can ask us to delete your profile and CV at any time, and we will confirm once it is done.
Requests and questions: info@octonics.com. Include your application reference so we can find your record quickly.
Accuracy
By submitting an application you confirm that the information you have provided is accurate to the best of your knowledge. If something changes — a new role, a new number, an updated CV — simply submit an updated profile and tell us your previous reference.
