Privacy Policy
Octonics Innovations ("Octonics", "we", "us") operates this careers portal so that candidates can share their professional details with our recruitment team. This policy explains what we collect, why we collect it, how long we keep it and what you can ask us to do with it.
1. Information we collect
When you submit an application, we collect the information you enter into the form:
- Identity and contact details — full name, email address, mobile number, country, city and, if you choose to provide them, nationality, date of birth and gender.
- Professional information — employment status, job title, employer, years of experience, qualification, specialization, skills, areas of interest and your professional summary.
- Availability information — whether you are in Kuwait, your residency status, notice period and, optionally, your expected salary.
- Links and documents — any profile links you provide and the CV file you upload.
- Technical information — your IP address, browser user agent, the page that referred you and any campaign parameters in the link you followed.
Date of birth, gender, salary expectations and all profile links are optional. Leaving them blank has no effect on how your application is considered.
2. Why we collect it
- To assess your suitability for current and future roles at Octonics.
- To contact you about opportunities that match your profile.
- To maintain the Octonics Talent Network so your profile can be revisited when a suitable position opens.
- To protect the portal from automated abuse and to keep basic security records.
- To understand which recruitment channels reach the strongest candidates.
We process this information on the basis of your explicit consent, given through the confirmation checkbox at the end of the application form.
3. Who can see your information
Your application is visible to the Octonics recruitment team and to the hiring managers of the relevant department. We do not sell your information, and we do not share it with third parties for marketing purposes.
We may share limited information with service providers who host our infrastructure or deliver our email, strictly to operate this portal on our behalf.
4. How long we keep it
We retain candidate applications for up to 24 months from the date of submission so that we can consider you for future openings. After that period the record and the uploaded CV are deleted, unless you have joined Octonics or asked us to keep your profile for longer.
5. How we protect it
- All traffic to this portal is encrypted in transit using HTTPS.
- Uploaded CVs are stored under generated filenames in a directory that is not publicly accessible and cannot execute code.
- Database access uses prepared statements, and the application is protected against cross-site request forgery and automated submissions.
- Access to candidate records is limited to staff who need it for recruitment.
6. Your choices
You can contact us at any time to:
- request a copy of the information we hold about you;
- correct anything that is inaccurate or out of date;
- withdraw your consent and ask us to delete your profile and CV.
To make any of these requests, email info@octonics.com with your application reference. We aim to respond within 30 days.
7. Cookies
This portal sets a single session cookie. It exists only to keep your form session secure and to show you your confirmation page after submitting. We do not use advertising or tracking cookies. Your form progress is saved in your own browser's local storage so you can finish later; it never leaves your device until you submit, and clearing your browser data removes it.
8. Changes to this policy
We may update this policy from time to time. The date at the top of this page always reflects the most recent version.
